Marketing Events Coordinator
Location: Apex, NC     

Job Description
  • The Marketing Events Coordinator is responsible for coordinating all virtual and live trade shows, open houses, company outings and other events, from conception to clean up. The Marketing Events Coordinator reports to the Marketing Manager and requires consistent and careful coordination with the Marketing Manager, CEO, various department managers, Marketing and Sales staff. This position requires collaboration and communication with outside vendors, customers, and other media sources as well as close in-house involvement of other departments. The Marketing Events Coordinator ensures that all events meet and exceed expectations and that all event-related materials arrive on-site and meet established standards as to scheduled delivery, appearance and content. This role also supports Sales and Marketing staff as requested.


    Skills Requirements
  • Major Duties and Responsibilities
  • Travel as required to trade shows and events to adequately execute set up and tear down of show materials and support Sales staff and Marketing efforts. Ability to travel between 20-30% of the time and accommodate evening and weekend events is expected. A valid passport is required.
  • Book event space, order supplies, equipment, and signage, assist with negotiations for space contracts, and ensure appropriate décor to meet quality and brand expectations.
  • Maintain inventory of all display and product demonstration materials. Ensures all materials are in show-ready condition.
  • Maintain website exhibition calendar.
  • Coordinate and monitor event timelines; ensure all event deliverables and deadlines are met. Monitors and communicates status of event-related deliverables to stakeholders.
  • Initiates, coordinates and/or participates in all efforts to publicize event. Ensures messaging is timed and released to effectively promote events.
  • Coordinate event logistics, shipping and show labor.
  • Place orders with event contractors and ensure services are performed satisfactorily. This includes securing and scheduling show labor, electrical, plumbing (air), lead retrieval, carpeting, cleaning, furniture rental, shipping, and drayage. Produce and provide booth and utility layouts and drawings for show staff and/or show orders.
  • Responsible for pre event set-up and post event tear-down including supervising contracted labor, keeping sufficient records of services rendered.
  • Maintain sufficient product knowledge to assist Sales staff during the event.
  • Coordinate with vendors, customers, and in-house team to create new robotic demonstrations.
  • Process and distribute event leads to Sales staff.
  • Assist Sales staff with product and demonstration materials for customer visits.
  • Maintain event finances including invoicing, budgets, and reporting.
  • Propose new display ideas and improvements to the event planning and implementation process.
  • Knowledge, Skills and Abilities Required
  • Excellent written and verbal communication and organizational skills.
  • 1-4 years experience with event management; international experience is a plus.
  • Ability to manage multiple simultaneous projects and work assignments for a large amount of events and trade shows.
  • Excellent problem-solving skills to quickly and efficiently resolve issues that may arise during an event and/or under pressure from deadlines, customers, and other demands of a rigorous event schedule.
  • Must be able to lift up to 50 lbs. and handle the strenuous work of setting up large displays and packing heavy product demonstrations.
  • Proficient using the Web to conduct research, event administration, and procurement as well as fluency with the latest versions of Microsoft Outlook, Word, Excel, and PowerPoint.
  • Proficient use of Adobe software: Acrobat, Illustrator, InDesign, and Photoshop to assist with creating and editing large format trade show graphics and assets for virtual events, is preferred.
  • Experience with Microsoft Dynamics CRM, Google analytics, presentation creation, desktop publishing, project management software, HTML web design and/or social media is a plus.

    Education Requirements
  • Bachelor’s degree in Marketing, Hospitality, or equivalent related field experience in Event Management, Sales Support, Technical Stage Production - plus 1-3 years of hands-on experience
